Office Admin
The Office Administrator plays a vital role in ensuring the smooth functioning of the office and providing administrative support to various departments and employees. This position involves handling a wide range of tasks and responsibilities to maintain an organized and efficient office environment.
Responsibilities:
- General Administrative Support: Provide administrative assistance to management and staff, including handling correspondence, managing calendars, scheduling meetings, and arranging travel logistics.
- Office Operations: Oversee day-to-day office operations, such as managing office supplies, coordinating maintenance and repairs, and ensuring proper functioning of office equipment.
- Reception and Communication: Greet visitors, answer phone calls, and respond to inquiries in a professional and courteous manner. Manage incoming and outgoing mail and maintain the office filing system.
- Document Preparation: Prepare and format various documents, reports, presentations, and spreadsheets. Ensure accuracy and confidentiality of sensitive information.
- Record Keeping: Maintain accurate records and databases, including employee information, inventory, and financial records. Assist in budget tracking and expense reconciliation.
- Event Coordination: Assist in planning and organizing company events, meetings, conferences, and workshops. Coordinate logistics, send invitations, and manage RSVPs.
- HR Support: Assist with HR-related tasks, such as new employee onboarding, maintaining personnel files, tracking attendance, and supporting employee engagement initiatives.
- Vendor Management: Liaise with vendors and suppliers, negotiate contracts, and ensure timely delivery of goods and services.
- Health and Safety Compliance: Ensure compliance with health and safety regulations. Maintain emergency response procedures, conduct safety drills, and manage office security protocols.
- Office Culture: Foster a positive and inclusive office culture by organizing team-building activities, celebrations, and employee recognition programs.
Qualifications:
- High school diploma or equivalent; additional relevant certifications or training is a plus.
- Proven experience as an office administrator or in a similar administrative role.
- Proficiency in office software, including MS Office (Word, Excel, PowerPoint) and familiarity with office equipment (printers, scanners, etc.).
- Strong organizational and time management skills with the ability to multitask and prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Attention to detail and problem-solving abilities.
- Ability to work independently and collaboratively in a team environment.
- Discretion and confidentiality in handling sensitive information.
- Knowledge of basic HR and accounting principles may be advantageous.
