Job Description

The Quality Assurance Executive Dubai job is a hybrid of customer-facing reception support and behind-the-scenes operational administration. You’ll liaise closely with the CRM function, ensure brokers and Sales & Marketing teams comply with standards, and maintain high-quality service across the guest journey.

You’ll be the person who keeps workflows clean and consistent—creating leads, ensuring gifts and vouchers are properly recorded, keeping Universe records accurate, preparing documentation, assisting with inhouse allocations, and supporting communications across departments.

Job Responsibilities

General Quality and Compliance

  • Ensure brokers and Sales & Marketing teams comply with MVW standards, company policy, and processes

  • Handle member and guest inquiries and special requests with professionalism and discretion

Reception and Back Office Operations

  • Host guests warmly, propose drinks, and maintain a completed client form

  • Create leads and maintain records in Universe

  • Keep customer history and contact details accurate and complete

  • Track and update effort codes and job codes correctly in the system

  • Ensure all guest details for presentations and tour gifts are registered and codified

  • Order gifts after sales presentations and keep gift reports up to date

  • Maintain strict control of tour vouchers offered to Holiday Preview or inhouse guests

  • Identify and help resolve Holiday Preview issues upon arrival or during the stay

  • Ensure Holiday Preview tours are on time by calling guests once checked in

  • Review deliveries, manage DHL ordering/prep, and collect daily post

  • Ensure the sales gallery is set up to brand standards—clean, tidy, and all materials in working condition

  • Liaise with departments including IT, Engineering, Loss & Prevention, Front Desk, Operations, and back office teams

Admin, Contracts, and Documentation Control

  • Review worksheets before submission when CRM is absent

  • Print contracts, manage countersignature steps, and conduct guest signing in the gallery

  • Ensure new purchasers have all documentation received and signed before leaving

  • Scan and submit signed contracts as required when CRM is absent

  • Liaise with new purchasers during the noticing/cooling-off period to collect documentation (POA, POI, credit card forms, etc.)

Inhouse Support and Coordination

  • Provide administrative support to the inhouse department including:

    • Inhouse lists, tour tracking, and performance update files

    • Referrals updates and communication tracking

  • Assist with schedule/rota preparation

  • Communicate professionally via email, phone, and in-person

  • Process open-dated packages

  • Support other marketing departments as needed and follow SOPs

  • Prepare wages and allocations

  • Handle IPC queries and support training and meetings

  • Assist with customer complaints and performance review preparation

  • Coordinate communications and initiatives with resort operations

  • Manage daily/weekly allocations between DLP Marketing team and brokers

  • Retrieve IPC comments as per rota and keep rota updated
