SECRETARY/OFFICE ADMIN

Responsibilities of a Secretary/Office Administrator:

  1. Efficiently manage the day-to-day administrative tasks of the office, including scheduling appointments, coordinating meetings, and handling correspondence.
  2. Greet and welcome visitors, clients, and employees, creating a positive and professional first impression.
  3. Maintain and organize office supplies, ensuring adequate stock levels and cost-effective procurement.
  4. Handle incoming and outgoing communications, including phone calls, emails, and mail, and direct them to the appropriate recipients.
  5. Prepare and edit documents, reports, and presentations with accuracy and attention to detail.
  6. Coordinate travel arrangements and accommodations for team members and executives as required.
  7. Manage office records and databases, maintaining confidentiality and data accuracy.
  8. Support HR functions, such as maintaining employee records, processing paperwork, and assisting in recruitment processes.
  9. Assist in budget tracking and expense management, ensuring adherence to financial guidelines.
  10. Act as a liaison between various departments, facilitating effective communication and collaboration.
  11. Organize and maintain office filing systems, ensuring easy access to information and documents.
  12. Coordinate and plan office events, meetings, and conferences, including logistics and catering arrangements.
  13. Ensure office equipment and facilities are in good working condition, and coordinate maintenance or repairs when necessary.
  14. Handle sensitive and confidential information with discretion and maintain the confidentiality of sensitive matters.
  15. Support the management team with ad-hoc administrative tasks and special projects as required.

Requirements:
  • At least 2 years experience in the same position.
  • Degree in accounting is a plus.
  • Fluent in English is a must.
  • Excellent knowledge of MS office applications.
  • Excellent knowledge of the internet and e-mail writing.
  • Transferable visa is a must.
