SECRETARY/OFFICE ADMIN
Responsibilities of a Secretary/Office Administrator:
- Efficiently manage the day-to-day administrative tasks of the office, including scheduling appointments, coordinating meetings, and handling correspondence.
- Greet and welcome visitors, clients, and employees, creating a positive and professional first impression.
- Maintain and organize office supplies, ensuring adequate stock levels and cost-effective procurement.
- Handle incoming and outgoing communications, including phone calls, emails, and mail, and direct them to the appropriate recipients.
- Prepare and edit documents, reports, and presentations with accuracy and attention to detail.
- Coordinate travel arrangements and accommodations for team members and executives as required.
- Manage office records and databases, maintaining confidentiality and data accuracy.
- Support HR functions, such as maintaining employee records, processing paperwork, and assisting in recruitment processes.
- Assist in budget tracking and expense management, ensuring adherence to financial guidelines.
- Act as a liaison between various departments, facilitating effective communication and collaboration.
- Organize and maintain office filing systems, ensuring easy access to information and documents.
- Coordinate and plan office events, meetings, and conferences, including logistics and catering arrangements.
- Ensure office equipment and facilities are in good working condition, and coordinate maintenance or repairs when necessary.
- Handle sensitive and confidential information with discretion and maintain the confidentiality of sensitive matters.
- Support the management team with ad-hoc administrative tasks and special projects as required.
- At least 2 years experience in the same position.
- Degree in accounting is a plus.
- Fluent in English is a must.
- Excellent knowledge of MS office applications.
- Excellent knowledge of the internet and e-mail writing.
- Transferable visa is a must.
