We are seeking a highly motivated and organized Office Assistant to join our prestigious and reputed company based in Abbasiya, Kuwait. As an Office Assistant, you will play a crucial role in ensuring the smooth and efficient functioning of the office operations. You will be an integral part of our dedicated team and support various administrative tasks to maintain an optimal work environment.

Responsibilities:

Office Assistant

  1. General Administrative Support: Assist in day-to-day administrative tasks, including but not limited to filing documents, handling correspondence, photocopying, and managing office supplies.
  2. Front Desk Operations: Greet visitors and clients in a friendly and professional manner, answer incoming calls, and direct them to the appropriate departments or individuals.
  3. Scheduling and Calendar Management: Coordinate and manage schedules for meetings, appointments, and conferences. Ensure timely reminders and assist in organizing travel arrangements when required.
  4. Data Entry and Record Keeping: Maintain accurate records of company information, employee data, and other relevant documentation. Update databases and information systems with relevant data.
  5. Communication: Facilitate effective communication within the office by relaying messages, emails, and other correspondence. Liaise with internal teams and external partners as needed.
  6. Assisting with HR Tasks: Support the HR department with activities such as new employee onboarding, coordinating interviews, and maintaining employee records.
  7. Report Preparation: Help prepare regular reports, presentations, and documents as requested by management.
  8. Office Maintenance: Ensure the cleanliness and organization of the office space. Report any maintenance issues promptly to the relevant departments.
  9. Ad-hoc Duties: Undertake various ad-hoc tasks and projects as assigned by supervisors or management.

Requirements:

Office Assistant

  • High school diploma or equivalent qualification.
  • Proven experience as an Office Assistant or in a similar administrative role is an advantage.
  • Proficient computer skills, including MS Office (Word, Excel, Outlook, PowerPoint).
  • Strong communication skills, both written and verbal.
  • Excellent organizational abilities and attention to detail.
  • Ability to multitask and handle multiple responsibilities simultaneously.
  • Proactive, reliable, and capable of working both independently and as part of a team.
  • Familiarity with office equipment such as printers, scanners, and photocopiers.
  • Knowledge of Arabic and/or other languages is beneficial but not mandatory.
  • Must be legally eligible to work in Kuwait.
