Administrative Assistant
Required Qualifications and Experience:
Minimum Diploma in clerical or administration.
Very good oral and written knowledge of English and Arabic.
General prior experience (at least three years) of document processing, record keeping, and report compilation, requiring simple analysis and use of individual judgment.
Key Accountabilities:
Administrative Support
Perform administrative clerical office work supporting the activities of the team/manager within which the role operates, and ensure excellent organizational and communication skills, effectiveness, confidentiality accuracy, and attentiveness
Filing documents as per a system that ensures easy/ accessible retrieval maintaining strict confidentiality and maintaining a corresponding electronic filing system.
Provide a complete correspondence service, routing correspondence as necessary and drafting replies where appropriate to ensure that all mail is dealt with efficiently.
Observe confidentiality procedures and register and track accountable documentation to ensure security and control.
Contact various stakeholders, suppliers, or KFAS employees both inside and outside the immediate work area to exchange information.
Support management through scheduling appointments, and coordinating arrangements for meetings and travel bookings to ensure that the management is enabled to meet its future commitments.
Resolves administrative problems by analyzing information; identifying and communicating solutions.
Maintains rapport with employees by arranging continuing contacts; researching and developing new services and methods; setting priorities; resolving problem situations.
Provides information by answering questions and requests.
Maintains continuity of work operations by documenting and communicating needed actions to management; discovering irregularities; determining continuing needs. Propose solutions.
Report
Compile a variety of regular reports in accordance with standard operating procedures for use by management.

Follow all relevant departmental policies, processes, standard operating procedures, and instructions so that work is carried out in a controlled and consistent manner.
Health, Safety & Environment
Comply with all relevant health, safety, and environmental management policies, procedures, and controls to ensure a healthy and safe work environment.
