To be responsible for performing a wide variety of administrative and secretarial duties and to act as liaison between the CEO’s office and external departments/agencies to ensure the smooth running of the CEO’s office, participate in general office management and perform other administrative tasks, as required.

Ø To manage priorities and track CEO’s calendar, phone calls/messages/emails and deliverables, to ensure daily workload is balanced. To interpret requests and assist in carrying out the procedure.

Ø To provide daily secretarial services, drafting and preparing non-routine letters, notes, documents and various reports that require comprehensive knowledge of methods, procedures, policies and organization for the Executive Director.

Ø Preparing and circulating minutes of meetings according to the instructions issued, following up the implementation of decisions taken in meetings, preparing special or one-time reports, summaries, or responses to inquiries, and selecting relevant information from various sources.

Ø To schedule appointments, ensure and coordinate travel and all logistical arrangements and other administrative matters relating to the CEO and inform him of any emergency matters during his absence.

Ø To assist the CEO in preparing presentations and general correspondence relating to the activities of the office.

Ø To coordinate signing and tracking of documents including approvals and delegation of authority. Review incoming memos, reports, and other documents to determine their importance and plan for their distribution
